A Better Medical Supply Enquiry: Six Details to Include
Send a clearer enquiry and make quotations easier to compare, from specifications to delivery.
Good procurement begins with a clear request
A useful quotation answers more than “How much does it cost?” It should help you compare the product you need, the quantity supplied, and the practical conditions of the purchase. A clear enquiry reduces follow-up questions and makes differences between offers easier to spot.
Identify the exact product
Include the product name, manufacturer or preferred brand, model or catalogue code, and required size. Explain the intended setting where it affects suitability. If you are sending a reference photograph, also provide written specifications; a picture alone can miss important differences.
Clarify quantity and packaging
State whether the quantity means individual pieces, boxes, or cases. Ask how many items are included in each pack. For dated or sterile stock, ask for relevant expiry, labeling, and packaging information. Specify any documentation your organisation needs before it can approve a purchase.
Ask about use and ongoing support
For reusable instruments or equipment, request the manufacturer’s instructions, compatible accessories, maintenance needs, and warranty arrangements. Confirm who provides technical support. FDA guidance on reusable devices highlights the importance of following the correct reprocessing instructions; procurement should make those instructions available.
Confirm the commercial details
Include your company or clinic name, delivery location, contact details, and preferred date. Review the total price, applicable tax, delivery charges, availability, payment terms, and quotation validity before confirming. Keep the accepted quotation and order reference. Use our quotation form for product enquiries, and let the responsible professional approve clinical suitability.
